What we do not collect

PaystubX is designed to minimize sensitive data handling. We do not collect, store, or maintain confidential information such as:

• Social Security numbers (SSN) or national insurance numbers
• Bank account numbers, routing numbers, or transit/ABA details
• Debit or credit card numbers on our servers (payments are handled by secure third-party processors)
• Other highly sensitive financial or government-identifier data beyond what is needed for a basic business profile

If you enter optional details while building a document in your browser or session, that information is used only to produce your paystub output and is not retained by PaystubX as confidential records in the way described above.

Information we collect

We collect and store only basic information needed to provide the service, such as:

• Account data — name, email address, and login credentials used to register and secure your account.
• Employer information — business name, address, phone, and other routine company details you choose to save in your address book or profile.
• Employee information — basic employee or contractor details you choose to save (for example name, address, job title, pay rate, and department)—not SSN or bank account data.
• Contact & support data — messages you send to our support team and related correspondence.
• Technical & usage data — IP address, device or browser type, pages viewed, and interactions that help us secure and improve the platform.
• Operational presence data — to show authorized administrators who is currently using the website or mobile apps, we process temporary session identifiers, platform (web/iOS/Android), approximate network region (IP-derived via Cloudflare or similar — not GPS), current high-level page or app screen name, and activity timestamps. We do not record keystrokes, form field values, Social Security numbers, bank account numbers, pay amounts, tax amounts, or paystub document contents in this presence system.
• Payment status — transaction confirmations from payment providers; we do not store full card numbers on our servers.

How we use information

We use personal information for purposes such as:

• Providing and improving the paystub generator, templates, and downloads.
• Processing payments, preventing fraud, and authenticating users.
• Customer support, security monitoring, and service notifications.
• Real-time operational monitoring (authorized admin staff only) to assist customers, review fraud or abuse signals, and understand platform usage by region and device type.
• Analytics that help us understand feature usage in aggregate or de-identified form where possible.
• Complying with law and enforcing our Terms of Use.

Sharing & disclosure

We do not sell your personal information for third-party marketing. We may share data with:

• Service providers — hosting, email delivery, analytics, and payment processors who assist our operations under contractual obligations.
• Legal & safety — when required by law, regulation, legal process, or to protect rights, safety, and security.
• Business transfers — in connection with a merger, acquisition, or asset sale, subject to continued protection of your information.

How we protect your data

Your employer and employee information is important to us. We use administrative, technical, and organizational safeguards—including encrypted connections (HTTPS/TLS), access controls, and secure hosting practices—designed to keep your data protected and secure.

No online service can guarantee perfect security. You can help by using a strong password, keeping your login credentials private, and signing out on shared devices.

Cookies & similar technologies

We use cookies and similar technologies for session management, preferences, security, and analytics. First-party session identifiers may also support operational presence (online status for authorized administrators). You can control cookies through your browser settings; disabling some cookies may limit certain features.

Operational activity retention

Live presence records are temporary and expire automatically (typically within about 60–90 seconds without a heartbeat). Session summaries and high-level activity events are retained for limited operational periods, then deleted by automated cleanup. Approximate country or region may be retained with session summaries. Raw IP addresses are not kept indefinitely. Sensitive paystub contents are never copied into presence or analytics event records.

Our site may reference or link to third-party sites or app stores. Their privacy practices are governed by their own policies; we encourage you to read them.

California Online Privacy Protection Act (CalOPPA)

CalOPPA requires operators of websites collecting personal information from California consumers to post a clear privacy policy. This page summarizes our practices. We may update this policy and will post changes here.

• Visit parts of our site without registering where we offer that capability.

California privacy rights (summary)

If you access PaystubX from outside the United States, you understand that data may be processed in the United States or other countries where we or our providers operate.
