Employers joining PaystubX mid-year choose one initialization method for the tax year — never two at once, so YTD cannot be double-counted.

Recommended when switching from another payroll provider. Enter the employee’s current-year YTD totals through the previous payroll cutoff. PaystubX YTD = those opening amounts + payroll processed here.

Voids and payroll adjustments

Mistakes do not require erasing history. Voided payrolls leave active YTD but remain in history. Approved positive or negative adjustments change only the required difference.

Historical records stay unchanged

Previously finalized paystubs keep the YTD totals that existed when they were created. Future payrolls do not rewrite older paystub records.

These actions help you prepare documents without posting to the employee ledger:

Only finalized payroll transactions, approved opening balances and finalized adjustments affect the employee’s payroll ledger.

Employer and employee ledger separation

Each continuous ledger is tied to a permanent employer profile and employee or contractor profile for a region and tax year. The same person working for two employers keeps separate year-to-date histories.

What is a payroll ledger?

A payroll ledger is the employee-by-employee record of finalized earnings, taxes, deductions, contributions and net pay across payroll periods.

Does PaystubX automatically carry YTD totals forward?

Yes. For employees connected to a permanent employer and employee profile, the next payroll retrieves applicable prior finalized payroll totals for the same employer, employee, region and tax year.

Does YTD work with Create Multiple Paystubs?

Yes for USA, Canada and UK. Individual payroll and multi-employee payroll share the same employee ledger. Global remains a separate manual generator outside this Multi-Payslip ledger product.

Can I add payroll completed through another provider?

Yes. Choose one method for the tax year: carry forward approved YTD totals from the previous provider, import the actual prior payroll periods, or start at $0 if this is the first payroll of the year. PaystubX never uses both an opening balance and imported history for the same months.

What happens when payroll is voided?

The voided payroll no longer contributes to active YTD totals, but its historical and audit records remain preserved.

Which regions are supported?

PaystubX provides automatic payroll calculation, Multi-Payslip continuity and ledger integration for the USA, Canada and UK. Global is a separate manual paystub generator for employer-entered values.
